One-on-one meeting notes template

Category: Business & Professional

A one-on-one meeting notes template fits recurring manager–report, mentor–mentee, or peer 1:1 conversations. Use it when the shape of the talk is “what is on your mind, what is going well, what needs to change, and are we tracking goals” - not a project status dump. For a multi-person status rhythm, use Status Update; for a short team ceremony, use Daily Standup.

Your typed notes and photos stay in User Notes. The template asks the AI for discussion topics (what you actually covered, not only the agenda), feedback given, feedback received, and goals progress. Concrete follow-ups live inside goal progress on this template - there is no separate action-items field - so coaching commitments do not get lost in a generic todo list.

Fields: Discussion topics · Feedback given · Feedback received · Goals progress · Key takeaways.

Artifacts: Email draft. No role views. No study mode.

Sample outline (demo data)

Maya ↔ Chris - biweekly 1:1

  • Discussion topics: On-call load after the launch; career path toward staff IC; vacation coverage in November.
  • Feedback given (Maya → Chris): Strong incident write-up; tighten async updates before standup.
  • Feedback received (Chris → Maya): More pairing time would help on billing.
  • Goals progress: Staff promo packet - outline drafted; needs two peer notes by Oct 31.
  • Key takeaways: Block Friday pairing; Chris owns peer-note asks.

Exports

PDF, DOCX, and Markdown keep discussion, two-way feedback, and goals as separate blocks so neither side’s voice collapses into a single summary paragraph.
