When to use this template
Use it for a trip planning session — a group conversation to plan a vacation, work trip, family reunion, or group travel. The structure covers both the trip details (dates, budget, transportation, lodging, activities) and the operational logistics (bookings made vs needed, packing notes, documents like passports and visas). For an ongoing household conversation, see Family Meeting. For money specifics, see Finance & Budget.
Fields captured
- Trip name / destination — what the trip is or where.
- Travelers — who is going.
- Travel dates — start and end (and any mid-trip moves).
- Budget — the agreed trip budget.
- Transportation — flights, trains, rental cars, transfers.
- Lodging — hotels, rentals, or hosts.
- Activities & priorities — must-dos and nice-to-haves.
- Dining preferences / reservations — restaurants or food plans.
- Bookings made or needed — per item: status (
booked/needed/researching) and owner. - Packing or preparation notes — what to bring or prep.
- Documents needed — passports, visas, IDs, vaccine cards.
- Action items — concrete tasks with optional owner and due date.
- Open questions — unresolved items.
- Key takeaways — the AI's prioritized summary points.

Exports
PDF, DOCX, and Markdown render the trip metadata first, then transportation, lodging, activities, dining, and bookings (the bookings field becomes a per-item status table). Packing notes, documents, and action items are at the end. Approved email drafts appear in exports too.
